About this role

The Project Coordinator keeps cabling, physical security, and IT projects moving day to day. You will schedule technicians and subcontractors, chase materials and deliveries, keep schedules and project records accurate, and pull together the closeout package at the end. You report to the Project Manager and work across every active job rather than owning a portfolio of your own.

Most of the work happens in the Unió App, the project platform we are building in house, alongside HaloPSA. It holds the schedule, the cost and resource data, and the reporting, so your job is keeping what goes in correct and complete. That accuracy is the whole point: when the data is clean, the Project Manager can see a job going sideways early, and when it is not, nobody can.

This is a deliberate step into project management. You will see the full lifecycle from initiation to closeout, learn the methodology from the person who owns it, and take on more ownership as you are ready. If you want a project management career and you are organized enough to keep a dozen jobs straight at once, this is the seat that gets you there.

What you'll do

  • Schedule technicians and subcontractors against active projects, and keep the schedule accurate as jobs move
  • Track materials and deliveries with procurement so crews are never waiting on parts
  • Keep project records, schedules, and cost and resource data accurate and current in the Unió App and HaloPSA
  • Chase the details that stall a job: permits, site access, missing information, and unanswered questions
  • Prepare and distribute project documentation, and assemble closeout packages including as-builts, test reports, and checklists
  • Keep clients, technicians, and vendors informed on scheduling and logistics
  • Support the Project Manager in kickoffs, progress reviews, and closeout walkthroughs, and capture the actions that come out of them
  • Flag slipping dates, budget surprises, and blockers to the Project Manager early rather than late

What we're looking for

  • 1+ years coordinating projects, scheduling, dispatch, construction administration, or comparable work with many moving parts
  • Exceptional organization and follow-through; you notice the thing that is about to be late
  • Comfortable working in project or ticketing software all day, and precise about the data you enter
  • Clear, professional written and verbal communication with clients, field technicians, and vendors
  • Genuine interest in growing into project management; formal project management training is welcome but not required
  • Eligible to work in the U.S.; based in or relocating to Tucson, AZ
